E-signature

Contracts signed the same day, with no printing or scanning

Pick the PDF, add who needs to sign and drag the fields onto the pages. Everyone gets a link by email and signs in the browser, phone included. When all have signed, the PDF comes back to Documents with its certificate: who signed, when and from which IP address.

Waiting

The problem

A signature still costs days and three hops

  1. The PDF has to be printed, signed by hand, scanned and sent back, and the crooked scan comes back again.

  2. With several signers nobody knows where the document stands, and the reminders go out by hand, one by one.

  3. Signing takes a separate subscription, and the signed PDF ends up in an archive far from the other documents.

The result

Deals stuck waiting for a signature, and signed contracts scattered across emails and folders.

What it does

From sending to the signed PDF, in the same workspace

  1. Signature, initials, date, name, email, text and checkbox: drag them onto the pages, resize them and assign them to each signer, each in their own colour.

  2. All at once or one after another. Copy-only recipients get the PDF once it is signed; expiry up to 120 days and automatic reminders to whoever has not signed yet.

  3. No account for signers: they open the link, agree to sign electronically and draw, type or upload their signature. If you want, they first enter a code sent to their email.

  4. The signed PDF carries the certificate at the end: the original’s SHA-256 fingerprint, each signer’s viewing, consent and signature with time, IP address and device, and the full history.

  5. Save an envelope’s shape as a template, with roles, fields and message. From a template, send the same document to up to 50 people at a time, each with their own envelope.

  6. On veii.ai/e-signature anyone can send a PDF to be signed, free and with no account: they confirm their email with a code and follow the signing from a private link.

Inside Documents

The PDF leaves from the library and the signed copy comes back to the same folder, searchable like the other documents.

Agents send it

An agent sends a PDF to be signed, from a template too, and tells you who has signed and who has not.

Free without a workspace

On veii.ai/e-signature you send a PDF to be signed with no account, confirming your email with a code.

How it works

From a PDF to a signature

  1. 1

    Pick the PDF

Take it from Documents or upload it: the original is copied, so later edits never touch what gets signed.

  2. 2

    Add the signers

Name and email of who signs and who gets a copy, the order if it matters, and the email’s message.

  3. 3

    Place the fields

Drag the signature, the date and the other fields onto the pages, for each signer.

  4. 4

    Get it signed

The signed PDF with its certificate comes back to Documents and reaches everyone by email.

Questions

Signatures FAQ

01What is the signature worth?

It is a simple electronic signature (SES) under the eIDAS regulation (EU 910/2014): the certificate records the personal link, the consent, the times and IP addresses, and the original document’s fingerprint. Deeds that require an advanced or qualified signature need a different tool.

02Do signers need an account?

No. They get a personal link by email and sign in the browser, on a computer or a phone. If you turn on the email code, they enter the 6-digit code they receive before signing.

03Which files can I send?

PDFs up to 20 MB in the workspace, taken from Documents or uploaded. A Word file has to be converted to PDF first, for example with the PDF tools.

04What happens if someone declines?

They can decline with a reason: you and the other signers already invited get an email, and the envelope closes. You can also void an envelope yourself, with a reason, until it is completed.

05How much does it cost?

Signatures is included in every VEII workspace, inside Documents. Without a workspace, the public page is free: PDFs up to 20 MB, 5 recipients and 10 envelopes a day.
